It's been a month and a half since the last update. Most of that time went into major behind-the-scenes upgrades, but a good amount of new functionality shipped alongside them, much of it based on customer requests. Here's what's new.

Three highlights this time: see what materials are in stock and create orders for what's running low, automatically email users when their task becomes active, and ask new prospects your own questions before the first call.


See what materials are in stock and create orders for what's running low

The inventory feature I mentioned in the last update is now available to every shop.

Set a low-stock threshold on any material item you keep on hand, and Maestro will flag it when the count drops below that level. You can also enable email alerts and choose who receives them. Restocking takes one click: Maestro creates a Restock purchase order with no job attached, and receiving it adds the items back to your on-hand count. Each item keeps a full history of what came in and went out.


Automatically email users when their task becomes active

Tasks can now email the people assigned to them on their own, without anyone remembering to send the message.

Set a task to notify when it becomes active and the email waits until the job reaches that task's milestone, then goes to whoever is assigned. Nobody hears about work that's still weeks out, and nobody has to be reminded when it comes up. If you'd rather not wait, a task can notify the moment it's created instead. Either way the email sends only once.

Tasks can also notify on completion, and there you choose exactly who gets told. Leave that list empty and it goes to the assigned users, and whoever finished the task is skipped automatically. Set the timing once on a default task list and every new job or room built from that list arrives with it already in place.


Ask new prospects your own questions before the first call

The Client Intake Form is the link you send a prospect to collect their project details. Now you decide what it asks.

Add up to 10 questions of your own, each set for a short answer or a long one. They appear on the form ahead of the open comments box. Turn off any built-in section you'd rather not ask about: timeline, budget, the room-by-room grid, or the open comments box. Rooms a client lists on the form are created on the job automatically, so the project is partly set up before you open it. Set it up once in Custom Settings and it applies to every form you send from then on. (CEO permissions.)

Alongside the highlights above:

 Add subfolders to any job or room: create one whenever you need it, move files between folders without re-uploading, and default subfolders now go up to nine. Deleted files are kept for 60 days, so if one goes by mistake, get in touch and we'll put it back.

 Message a whole crew at once: set up groups like Build Team or Install Team and add the whole group to a discussion in one click. Replies can now include photos.

 Email invoices and proposals without any setup: invoices, proposals, contracts, and POs can now be emailed from any shop, with no sender verification required. Existing shops can enable it in Custom Settings.

 See everything billed and paid on an invoice: each invoice now tracks every amount billed, every payment, and the running balance, on screen and optionally on the PDF. (CEO permissions.)

 Clock out for lunch and fix timesheets in place: crew can clock out for lunch or an appointment and clock back in the same day on the Kiosk, with the time away recorded as a break automatically. Timesheet cells are editable in place, and every punch, break, and edit keeps a history.

 Find out who changed what and when: activity feeds are now searchable and filterable, and they log file changes, job and room deletions, purchase order history, flags, and timer edits, with who did what and when.

 Let jobs move to the next board on their own: an opt-in setting moves jobs onto your next workflow board automatically as tasks complete. Enable it in Custom Settings.

 Give each milestone its own color: pick a color for each milestone so tasks stand out at a glance on the task calendar, timelines, and employee schedules.

Also worth noting: date fields now open the calendar on a single click, creating or copying a job opens the new job as soon as it's ready rather than after a fixed countdown, sign-in errors now display a clear message, SketchUp files download correctly, and the Changelog and Custom Settings pages were redesigned. Behind the scenes, the framework Maestro runs on was brought fully up to date, with speed and security improvements along the way.


That's it for this update.

Currently in testing with a few shops: a stockroom barcode scanner that lets you pull material by scanning it with a phone camera, with the cost applied to the right job. More on that when it's ready.
