Maestro Monthly

September 2026

The biggest change this round: your clients can now review and accept proposals online, right from the email you send them. Here's what's new.

Three highlights this time: let clients review and accept proposals online, the Activity Hub redesigned and emailed on a schedule, and CSV imports for vendors, customers, and materials.

Let clients review and accept proposals online

When you email a proposal, it can now include a View & Accept button. Your client reviews the PDF and accepts it right there, with no printing, signing, or scanning.

Your client confirms the email address you sent it to, no account or password needed, then types their name as an electronic signature to accept. Accepting locks the proposal permanently and creates the invoice automatically, so what's on record is exactly what they agreed to. Your client gets a confirmation email with the accepted PDF attached, and you're notified by email, sent to the team members you choose, with a green flag on the job.

How to: it's off until you turn it on. Check “Let clients accept proposals online” in Custom Company Settings, under Email & Alerts (CEO login). Need to change a sent proposal? Click Disable accept link on the proposal page, edit, and re-send, and your client gets a fresh link.

The Activity Hub, redesigned and emailed on a schedule

The Activity Hub was rebuilt around the numbers you check first thing. You'll find it behind the stacked-boxes icon Activity Hub icon in the top menu bar, viewable for yesterday, today, this week, or this month.

Six tiles up top: jobs late, running behind, overdue tasks, materials to order, milestones advanced, and hours logged. The first four turn amber whenever the count isn't zero. Below the tiles: milestone advances grouped by phase in workflow order, time logged per person, and what's coming up, day by day.

New: the report can now be emailed to your team automatically. Daily emails cover yesterday, weekly ones cover the past week, and each person's copy matches what they'd see in the app.

How to: click Email this report on the Activity Hub page (CEO or manager login). Choose every day or specific weekdays, pick the send time, and check off up to 20 teammates. A Send now button sends one immediately so you can see it before scheduling.

Import vendors, customers, and materials from CSV

Getting your lists into Maestro no longer means typing them in by hand.

Import your vendor list, customer list, and material catalog from CSV files, up to 1,000 rows at a time. If any row has a problem, nothing is imported and you get a row-by-row list of what to fix, so it's safe to correct and re-upload the whole file. Rows that already exist are skipped, never duplicated, so importing over an existing list is safe.

How to: on the Vendors, Customers, or Material Catalog page, click Import CSV next to the Download CSV link (CEO login). Download the template first: it has the exact columns plus a filled-in example row.

If you'd like help setting any of these up, just get in touch and I'll walk you through it.

Also new

Alongside the highlights above:

Filter workflow boards by sales rep: narrow any workflow board to one sales rep, priority jobs, or a job type, so each salesperson works from just their own pipeline. Filters stick per board.
How: click the funnel icon next to the board's settings cog.

Tax and discounts on purchase orders: add a tax rate and a discount, dollar amount or percentage, to any PO. The discount comes off before tax, and the PDF shows the full breakdown down to the total.
How: in the totals section on any PO page.

A better days-in-milestones report: see per-job totals and the overall average, hide a job that's skewing the numbers, and export to CSV or print. It now covers every board, not just Production.
How: open it from Lists, Reports & Settings, then click “Filter report by…”.

Find catalog materials faster: no more scrolling the whole list to add a needed material. The catalog page also gained a Needed column: how many of each item your active jobs still call for, right next to what's on hand.
How: type a part number or description in the material picker; the Needed column is on the Material Catalog page.

Bulk actions on All Materials: delete several materials or change their status in one go. Anything removed from a purchase order is now recorded in that order's history.
How: check off rows on the All Materials page and pick an action from the green bar.

Know who's clocked in: see each person's time-clock status: clocked in and since when, clocked out, or not clocked in today. And on the Kiosk home screen, tapping “Not clocked in” takes you straight to a one-tap clock-in.
How: the Time Clock column on the Employees page (CEOs and managers).

Edit the intake invite email before it goes out: change the subject line, message, and sign-off for each client before sending your Client Intake Form. The room picker on the form is now a proper dropdown, too.
How: in the send window, click “See and edit exactly what the client will see”.

Attach PDFs to discussion replies: replies and comments on a discussion now take PDFs too, not just photos.
How: the “Add photos & files” button on any reply.

Also worth noting: the proposal and invoice forms got a cleaner layout with each PDF section as a simple on/off switch, creating a proposal from an estimate now opens it the moment it's ready, the search and filter boxes across the app share one clean new look, files on tasks show their upload date, forms on phones no longer zoom in when you tap a field, and the framework upgrade wrapped up, so pages load a little faster.

That's it for this update.

Want the stockroom scanner? It lets your crew pull material by scanning it with a phone camera, with the cost landing on the right job. It's been running smoothly with a handful of shops and is just about ready for everyone. If you'd like to be one of the first shops on it, get in touch and I'll turn it on for you.

If something isn't working right, or there's something you'd like Maestro to do, just get in touch. I read every one.
