Maestro Monthly

October 2026

The biggest changes this round are in scheduling: the Timelines page was redone, and tasks can now send emails when they start and when they're done. Here's what's new.

Three highlights this time: one Timelines page, with jobs you can open up, task emails when a task starts and when it's done, and CSV exports that match your filters.

See job and milestone timelines on one page, with jobs you can open up

Job Timelines and Milestone Timelines are now a single page with a By Job / By Milestone switch, and it remembers the one you used last.

Quick range buttons across the top: Auto, 6, 8, 12, or 16 weeks, or Custom for exact dates. Your pick sticks, and the job names and dates stay pinned while you scroll.

In By Job, each job is one row with its stages drawn in color and a chip showing the stage it's in now. Expand a row to see every stage and its open tasks, with dates you can edit or drag.

If a stage has dates, it now always shows on the timeline, sales stages included. Before, they could stay hidden even after you built a schedule that included them.

How to: open the Timelines tab under Schedules. Old timeline bookmarks still work and land on the right view.

Email the crew when a task starts and your chosen people when it's done

A task can now email the crew when it becomes active and also email the people you choose when it's completed. Before, you had to pick one or the other.

Set it on a single task, or on your default task lists so every new job gets it. Notification settings now live right on the task page, not buried in the edit form.

How to: on any task, click “Notification settings” on the Email Reminders card and check “Also send an email when this task is completed.”

Download CSV exports that match your filters

When you filter a list and download it, the spreadsheet now has exactly what you filtered, and all of it.

The Task List CSV now follows your filter and includes every matching task, not just the first 100. The Task List also filters by open, completed, or both, and by the stage each job is in right now, grouped by workflow board. The download follows those too.

The Logged Task Hours CSV now gives you exactly the dates and filters you picked, with no 3,000-row limit. A single job's hours export follows your filter too.

How to: filter the Task List or Logged Task Hours page the way you want, then use the CSV download on that page.

If you'd like help setting any of these up, just get in touch and I'll walk you through it.

Also new

Alongside the highlights above:

● Export and print job materials: download a job's or room's materials as a spreadsheet, or print a simple checklist grouped by room.
How: the three-dot menu on the Job Materials or Room Materials header.

● Pick jobs on the Task Calendar: filter by one or more active jobs from a searchable list, and your picks stay selected after you apply them. Subtasks with only a due date now show on the calendars, too.
How: the Job box in the Task Calendar filter.

● Copy a default timeline: start a new timeline from one you already have instead of from scratch. The list's day totals are now correct, too.
How: the Copy link on any row of your Default Timelines list.

● Faster search: results show up right away. Less-used categories like materials and discussions load when you click them, instead of making every search wait.

● Client replies reach you: when a client replies to a progress or update email, the reply now goes to the person at your shop who sent it.

● Messages on every device: confirmation and error messages now show on phones and tablets too, stay up longer, and never appear twice.

● Tighter permissions: money documents, estimate costs, and pay rates now stay with the roles the menus already showed. Employees can only edit their own profile, and only CEOs, managers, and estimators can move a job or room to a new stage by hand.

Also worth noting: rooms added from the Edit Job page always get their millwork details, milestones, and folders; deleting a workflow stage works on all five boards; reordering stages during setup always sticks; task pages with a long time history load fast; tasks marked done through the Job Assistant now show in the activity feed and move the job along; and opening something a coworker already deleted shows a short note instead of an error page.

That's it for this update. Next, I'm working on a way to check that a job's materials are actually in the shop before it starts.

Last month I asked how your clients pay you, and it was crickets. So I'm shelving online payments in Maestro for a while.

What I'm really excited about is coming up next: texting Maestro. Picture getting home after a long day. Instead of logging in and clicking through to mark tasks done, you just send Maestro a text and it updates the job for you.

Know a shop that would get something out of Maestro? If they sign up and mention you, you both get a month free. Just get in touch with their name.

If something isn't working right, or there's something you'd like Maestro to do, just get in touch. I read every one.
